I started Ability Management 6 years ago, and have grown the business to management of almost 45 associations with almost 4.500 units.  We manage Condo Associations, Home Owner Assoc, and Master Associations in Naples and Bonita Springs.  My business plan is to expand the business to approximately 5,000 units, and employ 12-14 people. We are successful and profitable, and are well past the “start up” stage. Currently there are 11 of us, including 5 licensed managers.  We have been very successful when making presentations to Boards in getting new business.  The possibilities are excellent for us in this business because of the excellent customer service that we offer, especially when compared to most of the other property management companies in the area. 

Below is a high level outline of the responsibilities for this job.  I have successfully managed hundreds of people, and know how to create a work environment where my teammates both succeed and enjoy their job.  We enjoy very little employee or association turnover.

We have a great support team in our office, who will happily and ably assist you with many of your responsibilities.

We have a generous mileage reimbursement, cell phone allowance, vacation policy and holiday policy.  Unfortunately, we don't offer health insurance coverage at this time.

Skills needed

·        You will need to be physically fit enough to walk around these properties.  Normally, I am out of my car for much of a site visit (see below).  It’s not a marathon, but you need to be able to walk for 60+ minutes at a time in the hot sun, across yards, uneven ground, through and behind shrubs, etc.

·        Lots and lots of Common Sense, along with the ability to manage your time and activities efficiently.  Property Management is a competitive business, with very thin profit margins, and all of our teammates have to work smart and not waste time.

·        Ability to communicate in a positive fashion and deal with owners, who often are complaining, sometimes irrationally, and keep smiling.   This is tough sometimes.

·        Knowledge of general maintenance and repairs.

·        Ability to manage subcontractors.

·        We use Microsoft Office (Word, Excel, Outlook, Access) and TOPS2000 Association Management and Accounting software.  You need to be reasonably proficient using spreadsheets, word processing, and email on a computer.  Not an expert, but comfortable. 

·        The ability to smile and stay positive when things go wrong. 

Responsibilities

·        You would start with a portfolio of approx. 8-10 associationsYou would visit 1-2 communities each day, on your own.  Each visit would take 30 – 90 minutes depending on the size of the community, and what you’re looking for that day.  Most of your time is unsupervised. I do not micro-manage any of my teammates.  The property managers make their own decisions regarding how and where they spend their time each day. You will be able to access your office desktop computer from your home computer.

·        Each property will have a checklist of things to check on or look out for on each property visit.  You will make sure each item on your checklist is attended to.  You would also write or record any other issues, observations, problems etc that you observe when on-site, and enter them into the issue log when you have access to your computer.  Most properties are “formally” visited once a week; some, every other week.

·        Also, each property would have a list of “Open Issues”, some of which would be assigned to you for inspection and/or resolution.  You would have that list with you for each property visit, and you would, if appropriate, do what you can to resolve that issue. You would make notes on this list as well.  Our Open Issues system is a key component of our success.  All issues that are not resolved immediately are entered into this system, for tracking.

·        Most every day you would visit the office to update the Open Issues file in our computer, make copies of your reports, etc., and discuss with the rest of us any issues needing discussion.  You would normally be in the office 2-4 hours per day.

·        You would help us locate a new subcontractors for any one time or on-going maintenance requirement.  That would entail making phone calls, checking references, reviewing proposals, and developing a scope of work for the task.

·        With the assistance of your office teammates, you would work to resolve any owner violations.  This often requires calling the homeowner to discuss the issue.  You will work with your teammates to compose a violation letter to an owner that fits the situation. Our TOPS system stores any number of standard letters for each community, and makes production of violation letters quite easy.

·         Several times each week you will need to revisit communities to inspect a reported problem, and determine who should be called to resolve it.  Often, the information provided by the homeowner is not sufficient to call a subcontractor to make a special trip, without confirming the problem ourselves.

·        Your office teammates will be a big help to you.  For example, they may dispatch a subcontractor to fix a problem. (And copy you via email or phone, which ever is appropriate.)
